The type of personal information we collect

Sensitive personal information
Some of the information we collect is very personal. It includes, but is not limited to, religious beliefs, health, race, or ethnicity. UPUK will not discriminate on any grounds and we are committed to working across faiths and cultures. We collect such information in order to ensure that we can include everyone and provide for any specific needs that may arise in the provision of services and activities for children and young people.


How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
– Participation in our programmes by a child in your care.
– Recruitment for employment or volunteering.
– Processing of donations.
– Requests for information about our activities.
– Enquiries and general contact.

We also receive personal information indirectly, from the following sources in the following scenarios:
– Grade and progress reports from your child’s school.
– Criminal history and convictions during DBS checks and recruitment procedures.
– Personal information and opinions about you in the form of references.
– Observations by our staff and team during activities and events.
– Donation reports and fundraising information from JustGiving, Facebook, Tiltify, Stripe, Go Cardless and other online giving platforms.
– Engagement with social media or digital marketing campaigns.


We use the information that you have given us in order to:
– Process donations and claim gift aid.
– Enrol you or your child in our programmes.
– Assess the effectiveness of our activities and programmes.
– Report to the Charity Commission, our board of directors, and our donors on our activities.
– Recruit, train, and empower volunteers and staff.
– Keep children safe during activities and events.
– Communicate with our supporters and donors.
– Communicate with parents/guardians about their own children.
– Fundraise and promote our work.
– Determine the effectiveness of our marketing and website.
– Fulfil our legal obligations as a charity in the UK.

We may share this information with service providers in order to comply with the law and to effectively run our services. We will never sell or share your personal information. Our service providers are:
– Our DBS check provider.
– ChurchSuite – Our CRM.
– Stripe and GoCardless – for payments and donations.
– WordPress – for our website contact form.
– Google Workspace – emails and cloud storage.
– HMRC – for Gift Aid claims and other statutory reporting.
– Tutorfair Foundation – Tutoring provision for Street Leaders.

We provide these organisations with only the data they need to perform these tasks for our purposes. We may be under duty to disclose your personal information where required in order to comply with any legal obligation.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
– Your consent. You are able to remove your consent at any time. You can do this by contacting our main office by emailing info@urbanpromise.org.uk.
– We have a legitimate interest in order to provide our activities and programmes for children and young people.


How we store your personal information
Your information is securely stored on ChurchSuite and in our secure cloud files. No personal information is stored on personal computers or devices.

We keep records pertaining to donations and other supporter details for 6 years after your last donation in order to fulfil our statutory reporting duties to Companies House and HMRC. We will then dispose of your information by permanently deleting digital records and securely disposing of any hard copy records.
We keep records pertaining to children and young people in our programmes 7 years after their last participation in our activities or until they are 25, whichever is longer. We will then dispose of their information by permanently deleting digital records and securely disposing of any hard copy records.


Your data protection rights
Under data protection law, you have rights including:
– Your right of access: You have the right to ask us for copies of your personal information.
– Your right to rectification: You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
– Your right to erasure: You have the right to ask us to erase your personal information in certain circumstances.
– Your right to restriction of processing: You have the right to ask us to restrict the processing of your personal information in certain circumstances.
– Your right to object to processing: You have the right to object to the processing of your personal information in certain circumstances.
– Your right to data portability: You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
– You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
